Close contact can be made with employees while taking care of their needs and helping them to fulfilling these needs. Close contacts can be building with employees through proper communication, positive leadership style, motivational talks, and positive attitude of supervisor. Worker participation in management and asking suggestions from employees on an issue can maintain close contacts. Providing employee’s welfare measures, fair wages and taking care of employee’s families may also increase sound relations with employees.
For having better relation in an organization it becomes necessary to take care of employees and maintain close contacts. Close contact with employees improves the good industrial relations and reduces the chances of industrial dispute and industrial unrest. Positive and close contacts with supervisors increase faith and motivation of employees. Close contacts with supervisors and employer also create a healthy working environment and increase the employee’s morale.
Management should make allowance for diversity and difference. It can be done by empowering employees to set up an environment that respect the contribution of everyone. There must be a great welcome climate for everyone and management must encourage coordination between diverse employees. Proper channel of communication should be use and trust must be build for having better relationship across differences. There must be fair treatment for all employees and everyone must hold equal worth. When employees from different background work together, there may be differences in value, culture, sex, religion, sex and lifestyle, management must try to minimize these differences and recognized equality for all employees.
Positive feedback or response demonstrates that colleagues have understood the instructions and executing the instruction properly. If there is no problem in performing the tasks and achieving the objects it means that there is no lack of communication and subordinates are performing smoothly.
As a supervisor/ leader, how can you ensure that you are able to inform colleagues about expected standards of performance using appropriate communication mechanisms?
Before giving instructions to colleagues and subordinates supervisors must have clarity about expected performance standards and modes of transmitting information. Different kind of media or modes such as providing job descriptions, letters, memos, reports, presentations, posters, audio-visual means, charts and diagrams may be used for giving instruction to colleagues. Supervisor should prepare himself for answering any query and solving further problems of the colleagues. While communicating with colleagues and giving instructions there must be clarity of massage. Communication must be like two way traffic, the sender and the receiver. Proper channels of communication process must used. For giving instructions to colleagues meetings, conferences, training sessions can be arranged. If subordinate obey all instructions and perform all tasks according to standards it conforms that subordinates have proper understanding of instructions.
Communication refers to a process in which information transmitted from one person to another person. We can identify barriers of communication as follow.
1. Semantic barriers - These barriers are language differences between the sender of the information and receiver. Sometime words create confusion because a proper word may have several meanings and it may create misunderstanding in the mind of receiver. 2. Physical barriers – High noise reduce the voice clarity and creates disturbance in getting the right meaning. Improper time such as a call in mid night and long distance of miles between sender and receiver are barriers of effective communication. 3. Personal and organizational barriers – Negative attitude of the superior, egotism, unwillingness to communicate, anxiety, status consciousness, not observing proper communication channels, poor listening and lack of motivation are barriers of communication process. 4. Organizational barriers – Organization’s policies and procedures, culture, poor interpersonal relationships in employees, several managerial levels are barriers of communication process. |
